How to digitalize your shop with a POS
5 simple steps to go from paper to digital — no expensive investment needed.
📋 Who is this guide for?
- Shop owners, mini-marts, pharmacies, cosmetics stores
- Merchants still using a notebook or calculator
- Diaspora members managing a business remotely
- Managers who want better cashier oversight
The 5 Steps
Assess your current management
Before changing anything, identify your current problems: stock losses, unrecorded sales, difficulty tracking cashiers, no visibility on daily sales. Note how many sales you make per day and how much money passes through each seller's hands.
💡 Tip: For one week, manually count your sales each evening. You'll quickly see the gaps.
Choose a system built for your reality
Not all POS systems are made for Africa. Your system must work WITHOUT internet (network outages are frequent), accept Mobile Money (MTN MoMo, Orange Money), run on a simple Android phone (no expensive equipment needed), and be available in French.
💡 Tip: Always test a POS by turning off Wi-Fi. If it doesn't work offline, move on.
Prepare your products and prices
Create a list of all your products with their prices. Organize them by category (beverages, food, hygiene, etc.). If you have variants (sizes, colors), list each variant with its price. This is the longest but most important work.
💡 Tip: Start with your 20 best-selling products. Add the rest gradually.
Train your cashiers in 30 minutes
A good POS must be simple. Show your cashiers how to: create a sale (select products, quantity), collect payment (cash or Mobile Money), print the receipt. Have them do 5 test sales. After 30 minutes, they'll be autonomous.
💡 Tip: Each cashier has their own PIN code. This way you know who sold what.
Track your results and adjust
After the first week, look at your reports: sales per day, best-selling products, total by payment method. Compare with your previous manual notes. You'll immediately see the difference in control and visibility.
💡 Tip: If you manage from abroad, check the dashboard each evening. You'll see all the day's sales.
